Dis-Chem Pharmacies has an opportunity available for a Pharma Inventory Graduate - Midrand. The aim of this position is to assist in managing supplier relationships, trading terms, and inventory planning within the Pharma Category. Support the forecasting, replenishment, and stock management processes to ensure product availability while aligning with Dis-Chem’s inventory benchmarks. The role will focus on learning and contributing to the efficient delivery of the right products at the right place and time, while supporting the maintenance of optimal stock levels through collaboration and effective implementation of action plans.

Vendor Relations and Agreements
- Assist in creating vendor agreements for new vendors and updating existing agreements for renewals, ensuring accurate documentation.
- Support the coordination of signing new vendor agreements and renewals, tracking key deadlines.
- Collaborate with the legal team to understand and help monitor compliance with vendor contracts.
- Assist in logistical planning for vendor meetings, ensuring all necessary materials and stakeholders are in place.
- Track vendor performance and gather data on whether they meet agreed-upon specifications, SLAs, and delivery timelines.
- Maintain open communication with vendors, helping to foster positive and professional relationships.
- Organize and maintain contract documentation, ensuring proper file management.
Stock Management and Allocation:
- Assist with replenishment of stock into Distribution Centres based on your assigned portfolio, ensuring optimal inventory levels.
- Process orders in accordance with the established ordering schedule, ensuring accuracy and timeliness.
- Monitor daily stock levels in the Distribution Centres and track supplier deliveries, maintaining the required days of supply as outlined by management.
- Allocate stock in alignment with customer demand and ensure compliance with Dis-Chem policies and procedures.
- Address and resolve inbound order issues, returns, and supplier recalls, ensuring discrepancies are promptly resolved.
- Maintain the required day's stock cover in line with group or category specifications.
- Take proactive measures to minimize out-of-stock situations, ensuring a smooth supply chain.
- Manage back orders effectively, where applicable.
Category Inventory Maintenance:
- Assist with the review of dormant stock reports to identify stores for distribution and execution of IBT’s
- Monitor short-dated or expired stock by analyzing sales reports and identifying stores that could utilize the stock, ensuring stakeholders are informed and actions are taken accordingly.
- Consolidate findings and submit stock write-off recommendations to management for approval.
- Coordinate with DC Management and relevant vendors to either process stock returns or follow the Return to Vendor (RTV) policy.
- Ensure that pre-determined inventory targets, including stock turn, sell-through rates, and stock on hand, are consistently met.
- Identify vendors with stock cover less than 95% and address non-compliance through appropriate measures.
- Respond to supplier queries related to stock, pricing, returns, transfers, and new vendor applications and escalate to management where applicable.
- Accurately list, load, and approve new Stock Keeping Units (SKUs) in line with Dis-Chem’s standard operating procedures.
- Regularly review trade terms and log fees/wholesale agreements to ensure accuracy and compliance.
Category Administration:
- Identify and communicate product information and master data updates to the Master Data team to maintain accurate product records.
- Communicate stock-related issues, pricing concerns, claims, and returns to relevant stakeholders to ensure smooth operations.
- Ensure clear communication of price reductions to internal stakeholders, facilitating the issuance of credit to relevant stores and Distribution Centres (DCs) once credit notes are received.
- Actively manage and resolve heat calls on a daily basis to address urgent inventory-related concerns.
Stakeholder Partnership:
- Collaborate daily with Distribution Centre (DC) operators to ensure timely supplier deliveries.
- Collaborate closely with the Pharma Inventory Officers and the Finance department on matters related to trade terms, pricing claims, billing fees, and new vendor applications.
- Maintain effective communication with suppliers to address and resolve any inventory-related issues promptly.
- Collaborate with Key Account Managers (KAMs) to build and maintain strong supplier relationships, ensuring smooth inventory management and coordination.
- Coordinate with marketing, sales, customer service, and operations teams during stock shortfalls to ensure alignment and timely resolutions.
- Participate in team meetings to provide updates on company initiatives, status reports, and execution progress.
