Dis-Chem Pharmacies in Midrand has an opportunity available for a Property Administrator. To manage the full lifecycle of lease documentation and support property operations across the commercial and retail portfolio. This includes lease administration, coordination of pharmacy license applications, compliance tracking, and stakeholder communication to ensure operational efficiency.

Minimum Requirements…

Essential:

  • Grade 12 / Matric
  • Diploma or Degree in Business AdministrationDiploma or Certificate in Business Administration or related field
  • Minimum of 2 – 3 years’ experience in property administration or similar role

Job Specification…

Property Administration
  • Support daily operations across commercial and retail property portfolio.
  • Liaise with maintenance teams and contractors to resolve tenant maintenance requests.
  • Maintain and organise property files, including leases, compliance documents, plans, and reports.
  • Coordinate tenants move-ins and move outs, including handover documentation.
  • Address tenant concerns regarding billing lease clauses, and property usage.
  • Track and manage rental arears and billing discrepancies with the finance team.
  • Assist in budgeting, rent roll updates, and income forecasting.
  • Ensure all property related documentation complies with legal and regulatory requirements (e.g.  CPA,POPIA).
  • Support internal and external audit processes by supplying relevant lease and property documentation.
  • Maintain up-to date records within the property management system.

Lease Operations:
  • Draft, prepare, review lease agreements, offers to lease and related documentation for approval.
  • Update and maintain all lease data accurately, including renewals, termination dates, operating costs and letters of interest.
  • Ensure lease renewals are completed within agreed timeframes.
  • Maintain lease register and track lease renewals including associated risks.
  • Ensure internal project teams use current and approved lease documentation.
  • Monitor and document lease renewal notice periods.
  • Ensure the end-to-end process of lease amendments, including drafting, coordinating approvals, obtaining signatures, and ensuring accurate filing and record-keeping in compliance with company policies and legal requirements.
  • Conduct regular lease audits to ensure compliance.

Department of Health Support:
  • Assist in compiling and submitting pharmacy license application documents.
  • Gather affidavits, site/store plans, Google Maps data, and pharmacy radius lists.
  • Ensure all information submitted are accurate and complete.

Stakeholder Liaison:
  • Maintain communication with landlords and property managers to resolve lease issues.
  • Maintain communication with the Project team for new stores.
  • Ensure the project teams are kept timeously informed of any changes in dates or plans.

General Administration:
  • Ensure all lease agreements comply with Dis-Chem policies and relevant legislation.
  • Record and archive contract documentation and correspondence.
  • Accurately update internal contract databases and property schedules as needed.
  • Communicate date changes and project-related updates to relevant departments.
  • Maintain strict confidentiality of sensitive information, including legal, financial, lease, and tenant-related data, in accordance with Dis-Chem policies and relevant legislation.

Reporting:
  • Generate lease-related reports for accounting and management.
  • Support regular updates and report on leasing activities.

General:
  • Adhere to all Dis-Chem Policies and Standard Operating Procedures.
  • Ahere to Health and Safety standards.

Essential:

  • Solid understanding of leasing, financial principles, and lease-related legal frameworks. Knowledge of lease administration.
  • Ability to manage processes, prioritize tasks, and solve problems rationally. 
  • Understands basic arithmetic and how actions impact financial outcomes.
  • Effective communication is vital for interacting with tenants, property owners, vendors, and other stakeholders. This includes both verbal and written communication skills.
  • Build and maintain strong relationships. Demonstrate ability to deal with a variety of people and managing urgency.
  • Takes personal responsibility for the quality and timeliness of work and achieves results with little oversight.
  • Skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiar with compliance tracking systems or document management tools
